What we collect, what becomes public, where it is stored, and how to have it removed.

Who runs this

Schoolers is a directory and digital yearbook for alumni and community members of the Faculty of Mathematical Sciences & Informatics (FMSI), University of Khartoum. It is run by alumni volunteers. It is not an official University platform, and nobody is paid to operate it.

What we collect

If you create an account: your email address, and either a password (stored only as a cryptographic hash, never in readable form) or an identifier from Google if you sign in that way.

If you create a profile: your name in English and Arabic, the batch year you started in, specialization, country of residence, a username, and a contact email. Optionally a photo, job title, affiliation, a short quote, and links to your own social or professional profiles. All of it is information you type in yourself.

If you subscribe to reunion alerts: your email address and optionally a country. This is separate from having a profile — you can subscribe without one.

We do not use analytics, advertising, or tracking of any kind. There is no third-party analytics script on this site.

What is public

This is the most important thing on this page. Once an administrator approves your profile, it is public: anyone on the internet can view it without logging in, including your name, batch year, specialization, country, photo, and the optional details you chose to add, such as your job title, affiliation, quote and what you are open to.

Your email address and the links to your social and professional accounts are not public. Only other approved members can see them, one profile at a time, so they cannot be collected in bulk. Visitors see only which platforms you have added, not the accounts themselves.

That is the purpose of a directory, but it is worth being explicit about: do not put anything in your profile that you would not want a stranger, an employer, or a search engine to see.

Profiles awaiting review, or that were rejected, are not public. Newsletter subscriptions are never public.

Where your data is stored

On a single private server rented from Hetzner, located in Nuremberg, Germany. The database, the authentication system, and the uploaded photos all run on that machine, managed by the community rather than by a commercial platform.

The one outside service we use

Cloudflare, and it is a deliberate policy rather than a convenience: a backup that lives on the same machine as the thing it is backing up is not really a backup. If that server is lost, burned, or simply fails, everything goes with it. So a copy of the database and of every uploaded photo is kept off the server entirely, on Cloudflare R2.

The same service also delivers profile photos, so they load quickly for members wherever they are rather than travelling from one machine in Germany every time. That means cached copies of photos sit on Cloudflare servers in a number of countries.

Nothing else on this site reaches outside our own server. The fonts, the code, and the pages are all served by us. Two things sit alongside that and are worth naming: Hetzner rents us the server the whole thing runs on, and if you choose to sign in with Google — rather than with an email and password — then Google handles that sign-in. Google is involved in nothing else.

None of these parties are given your data to use for their own purposes, and we do not sell or rent data to anyone.

Sharing with the University

Directory data may be shared with the University of Khartoum, under explicit consent and community agreement, for alumni-relations purposes. It is not shared with anyone else.

Backups and how long we keep things

The database is backed up once a day to Cloudflare R2 and kept for 90 days, with a copy on the server itself kept for 14 days. Uploaded photos are mirrored to Cloudflare R2 as well; because a photo you deleted may still exist in a backup for some time, deletion from the live site is immediate but removal from backups follows the cycle above.

Your control over your data

You can edit any part of your profile at any time, and you can delete your profile yourself from your profile page. Deleting removes you from the public directory along with your uploaded photos.

You can change or cancel your reunion alert subscription from your settings page. For anything else — a correction, a question, or a request to remove data — contact info@schoolers.space.

Honest limitations

This is a volunteer-run project in its first version after a soft launch. Signing up does not yet require confirming your email address, which means an address is not proven to belong to the person who entered it. Administrator review of profiles is manual, and it is the safeguard that stands in for automated verification.

We would rather tell you this than imply a level of assurance the system does not yet provide.

Changes to this page

If how data is handled changes, this page changes with it. The date at the top reflects the last update.
